Here at ESS Ltd we take your privacy very seriously take care to protect the privacy of and will only use your personal information to administer your account and to provide the products and services you have requested from us. During normal use of id.sims.co.uk (including STS.sims.co.uk) we collect and store statistical information to analyse how parts of this website are used and to allow us to offer you the ability to speak to and get help online from a SIMS expert.

We also use cookie data to display online advertisements based on your past activity on this website. These advertisements will appear on third-party websites including Google. This data relates to activity on our website only. It is anonymous and contains no personally identifiable data about you. Web beacons

Emails we send you may use web beacons (single, invisible 1x1 pixel images that are downloaded when emails are opened). The web beacon itself does not contain any personal data but allows us to monitor whether emails have been correctly received, opened and clicked on, and to improve the overall email experience we provide. By signing up to our newsletter or other email communications, you agree to give us your permission to do this.

Personal data you submit

The function of SIMS ID requires us to collect and process some personal information provided by the Management Information System at your site or directly input by you or nominated individuals at your site. What information do we collect from you? SIMS ID collects stores and processes the minimum information necessary to create, manage and confirm the accounts SIMS ID Manage.

For All SIMS ID users

The base information we collect includes:

  • Your name
  • The education site(s) you are associated to.
  • A unique identifier that identifies you to our systems.

You also provide:

  • a password (that we cannot see, it is encrypted)
  • the answers to a number of security questions (these are also encrypted) For SIMS ID users that we provision Office365 or Google accounts for

We also collect, where available:

  • DOB to determine – Key Stage, Academic year group and if you are over or under 13 years of age which is a requirement of some online services
  • Classes and Groups that you are associated with such as your registration class.
  • The email address provided to you as part of your account.

For SIMS ID users that we provision Microsoft SDS (Microsoft Classroom) accounts for

We also collect:

  • DOB to determine – Key Stage, Academic year group and if you are over or under 13 years of age which is a requirement of some online services
  • Classes and Groups that you are associated with such as your registration class.
  • The email address provided to you as part of your account.
  • Test results (carried out in Microsoft Classroom)

For Parents accessing Parent App through SIMS ID.

We also collect:

  • The third-party sign in provider and registered mail address used.

Why do we collect this information?

The data we hold and process is used for:

  • The creation of accounts within SIMS ID and the associated product. *The positive identification of users to securely grant access to the services they are entitled to.

We only share this data with the third parties who provide services to you, that are managed through SIMS ID. These may include…

Microsoft

For the provision of Office 365 accounts we share:

  • Your name
  • A unique identifier
  • The site you are associated with
  • The Groups you are associated with

For the provision of SDS accounts we share:

  • Your name
  • A unique identifier
  • Your Office 365 e-mail address
  • The site you are associated with
  • The groups you are associated with
  • Your academic year

Google

For the provision of Google App accounts we share:

  • Your name
  • The site you are associated with
  • The groups you are associated with
  • Whether you are older or younger than 13 years

E-safety for schools

For providing the correct level of web filtering based on your user role we share:

  • A unique identifier

Encyclopaedia Britannica

For Single Sign On access to EB online and/or Pro-quest we share:

  • No personal data is shared.

What do we do with your information?

We securely store your data within the European Union and process it fairly to create accounts for services provided to you. We may use stored e-mail to provide service announcements necessary to inform of service interruptions and service improvements. We may use (where a positive opt in is provided) stored e-mail accounts to provide information on other SIMS Services (adults only) How long do we keep hold of your information? We will only retain your information for as long as you take services from us. Upon leaving the service we will initiate a removal process that will securely remove your personal information from our systems; this process will generally take approximately thirty days to complete. For some services, such as O365 email there may be a requirement for data to be passed across to a new supplier. We have processes in place to facilitate this and will instigate the removal process once any migration has completed.

How can I access the information you hold about me?

General information can be accessed by any user by logging into the SIMS ID service and selecting the “My Profile” option from the drop-down selector in the top right corner under your name. This option will also provide access to password and security question settings.

Third parties

We will not disclose any personal information we collect about you to a third party without your consent or unless required to do so through law or statutory obligation. In connection with any application, request or enquiry you make, your information will be passed directly to the relevant contact within the company.

By submitting your personal information through this SIMS ID Service, you are consenting to it being processed by ESS Ltd in the manner described above.
